Our client has a vacancy for a temporary PA to join their busy team. The postholder will be a highly motivated and enthusiastic individual to provide and coordinate administrative and secretarial services to a designated Executive Director, Directors, Governing Body members. This will include the preparation of agendas and remote minute taking via video call, support the management of projects, gathering information and undertaking enquires and take appropriate follow-up action as required. Overall we need an experienced PA to provide flexible support to the successful delivery of all aspects of the Director's portfolio. This is a hybrid working role which means you will probably work 2 days a week in the office and 3 days a week from home.

Responsibilities and duties will include, but not limited to:

  • To provide specialist secretarial/administration support and advice to the nominated Executive Director, Director and Directorate team and/or nominated Governing Body members and Clinical Leads.
  • To take telephone calls for management when they are out of the office and expected to use initiative to deal with phone calls and messages.
  • To sort and prioritise all incoming mail and e-mail, distributing as appropriate.
  • To manage the electronic diary for management, including arranging and changing appointments, prioritising these as appropriate.
  • To prepare agendas, collate relevant documentation and take minutes and distributing notes of formal meetings, including Governing Body and Committees and informal meetings i.e. working groups, partnership forums, including typing-up of group discussions and interviews, as necessary.
  • To undertake administrative duties such as photocopying, scanning and mail-out distributions.
  • To ensure all urgent and/or confidential communications are received and distributed from/to relevant parties in a timely manner.

Skills and Experience

To be considered for this opportunity, you must have some previous PA/Secretarial experience ideally where you feel confident in minute taking. Some of these meetings will be completed via MS Teams where you will be remotely logging in. You must be highly organised, self-motivated, have first class administration skills and a good telephone manner. You should also be available to start at short notice.
