Description

Our well established family run business is looking for an Office Administrator to join their team on a permanent basis. The main purpose of the role will be to support the Finance Director and Office Manager and deal with any general office administration tasks.

Responsibilities and duties will include, but not limited to:

  • Maintain clear communication by phone and email with both key internal & external stakeholders
  • Receive and record orders and send out paperwork
  • Ensure the compliance of all customers/suppliers/hauliers is up to date before booking loads
  • Ensure loads are collected and delivered as scheduled and efficiently manage all logistical issues arising
  • Maintain the Company database
  • Prepare weekly, monthly and adhoc reports for Regional Managers and Directors
  • Assist accounts with developing and maintaining key procedures and processes
  • Provide daily support to accounts and promptly answer any invoicing/database related questions which may arise
  • Document procedures and processes to enable colleagues to cover the role
  • Support the Team Leader with key projects as and when they arise ensuring any allocated tasks are completed within set timescales
  • Provide cover for the Commercial Assistants and the Support/Compliance Assistant
  • Plan and coordinate the weekly bookings for the export loads in line with order requirements
  • Ensure the supplier price, signed contract, letter of credit and shipping costs have been received before completing order calculations
  • Maintain the compliance for each site we are exporting to
  • Prepare and collate export paperwork
  • Complete and send packing lists and loading photos before the daily cut off
  • Collate supplier readings for each order
  • Advise where necessary if any orders will be short on tonnage
  • Send monthly tonnage reports to our customers
  • Manage logistical issues with loads: rescheduling collections, arranging for diverted loads and forwarding rejected loads, always maintaining clear communication with all parties and Regional Managers and keeping the database record current and accurate, clearly reporting all non-conformances

Skills and Experience

The successful candidate must excellent organisation skills and very good attention to detail. You will have good all round general administration skills and be able to work well as part of a team.
