We are currently supporting our client who are looking for a Administrator to join their well-established company in Shrewsbury on a 12-month Fixed Term Contract. The department you will be joining provides services in relation to property sales enquiries, from the point of sale to completion, administration of management companies and assistance with Land Registry registrations. An interest in property would be advantageous but is not essential as training will be provided. Our client is looking for someone who has excellent office and administrative experience with knowledge of Word, Excel and Outlook being essential.
Your responsibilities will be:
- Dealing with incoming and outgoing telephone calls.
- Taking and making phone calls.
- Corresponding with conveyancing solicitors and communicating with internal departments.
- Responding to pre-contract enquiries.
- Responding to re-mortgage enquiries.
- Advising on requirements for transfer of equity transactions.
- Providing up to date Debtor History Reports to solicitors.
- Liaising with internal Accounts and Property Management departments.
- Administrative assistance to the team.
- Photocopying and scanning.
- Filing/Reviewing Files.
- Responding to emails.
- Reading and interpreting legal documents.
- Adhere to company policy and procedures including those on confidentiality, equal opportunities, health & safety and information security.
Additional responsibilities may include:
- Producing Legal Information Packs.
- Responding to emails as a result of issuing the Information Packs.
- Dealing with post completion documentation, ensuring that all requirements have been met and the legal documents are acceptable, before closing the file and issuing the relevant response and documents (i.e. Certificate of Compliance and Share/ Membership Certificates) to the solicitor and sending the file to our internal Set Up department.
- Keeping company records, dealing with annual returns, appointments, resignation and change of Director details and returning these to Companies House in accordance with Company Law.
- Updating shareholder records.
- Being involved with Lease Extensions and Deed of Variations.
- Undertaking Land Registry searches.
