We are recruiting for a full-time Appointment Booking Coordinator to support our client’s journey from initial contact through to assessment completion. This is a fast-paced role that requires excellent attention to detail, strong IT skills, and the ability to stay calm under pressure.

You’ll be part of a small, supportive team that works closely with leadership to improve systems and processes. Your ideas and input will be welcomed as we continue to grow and evolve.

Key Responsibilities

  • Creating appointment schedules and booking rooms
  • Coordinating appointments for assessments and usually multiple follow-ups
  • Managing a caseload of clients and tracking their progress
  • Communicating with clients and clinicians via phone and email
  • Once the full report is completed, you will format and review the documentation and check for accuracy and literacy
  • Conducting audits and maintaining service quality metrics
  • Recording client data accurately and securely
  • Handling customer service queries with empathy and professionalism
  • Supporting clients with mental health needs through clear, compassionate communication
  • Collaborating with colleagues to deliver a seamless experience
  • Using secure software tools to manage sensitive information

Experience:

Essential:

  • 1+ year experience in customer service or administration
  • Strong written and verbal communication skills
  • Excellent time management, problem-solving, and IT proficiency
  • High attention to detail and adaptability
  • Positive, empathetic, and team-oriented approach

Desirable:

  • Experience in healthcare or similar settings
  • Familiarity with Google Workspace and Adobe tools

  • GCSE or equivalent (preferred)
