Our client is recruiting for a capable administrator to join the team ASAP to support the onboarding and compliance process for new starters. You will be a key player in the HR and compliance team, handling everything from pre-employment checks to document verification. You will be highly organised, detail-driven and confident in communication.

Administrator Duties

  • Receive and process new hire information following offer acceptance from the Recruitment Coordinator.
  • Review candidate CVs, application forms, and identification documents to begin the onboarding file.
  • Initiate and track DBS (Disclosure and Barring Service) applications.
  • Identify and obtain necessary references, including most recent, previous, character references – potentially going back up to 20 years for certain roles.
  • Chase references via email and phone and verify all written references verbally.
  • Investigate and confirm employment from companies that have ceased trading (e.g., using Companies House).
  • Request and verify copies of relevant qualifications; liaise with universities or institutions where needed.
  • Arrange and obtain overseas police checks for candidates who have lived or worked abroad.
  • Maintain a detailed onboarding tracker using Microsoft Excel and other internal systems.
  • Meet with new starters during their induction week to finalise missing documents and ensure full compliance, using a firm and professional approach.

Skills and Experience required:

  • Strong attention to detail and organisational skills.
  • Confident communicator – both written and verbal.
  • Able to remain calm but assertive when chasing outstanding information.
  • Comfortable managing multiple onboarding cases simultaneously.
  • Proficient in Microsoft Excel and general administrative tools.
  • Experience in compliance or HR administration is desirable but not essential.
